From Freelancer to $10k/mo: My Exact Invoicing System

In 2021 I was a broke freelance designer charging $40/hour and getting paid 45–60 days late (when I got paid at all).
Fast-forward to today: I run a bootstrapped SaaS doing multiple six figures and I haven’t manually chased a payment in over two years.
Here’s the exact invoicing system that took me from stressed freelancer to $10k+/mo recurring (and eventually let me build Tagihly).
2019–2021 (The Dark Ages)
Invoices made in Canva → looked pretty, paid slow
Net-30 terms because “that’s professional”
Reminders only when I was already broke
~35% of income eventually written off
Constant anxiety every 28th of the month
The Turning Point (One Google Sheet + 3 Rules)
I finally wrote down every painful late-payment story and turned the patterns into rules.
Rule 1 – Never work without 50% upfront
Rule 2 – Never deliver without the final 50% already paid or on net-7 max
Rule 3 – Automate everything that hurts
That Google Sheet + rules alone took me from $3k → $12k/month in under 9 months.
My Exact System (2021–2023) – Still Use It Today
Step | Tool Used | What Actually Happens |
|---|---|---|
1. New lead → Proposal | Notion + PandaDoc | Proposal includes 50% deposit to book my time. No deposit = no start date. |
2. Deposit paid | Stripe link inside proposal | Money lands instantly → I start work the same day. |
3. Milestone / Delivery | Notion task + Calendar invite | Final 50% invoice sent 5 days before delivery with “Pay now to receive files” note. |
4. Final payment | Stripe + Tagihly (beta) | One-click link. Files stay locked until green. |
5. Late? | Tagihly AI reminders | Day 1 → friendly WhatsApp. Day 3 → polite escalation. 97% pay same day. |
6. Monthly retainers | Tagihly recurring invoices | Auto-charged every 1st → I literally never think about it. |
Result in numbers (2022):
Collected 99.4% of every dollar invoiced
Average days to paid: 4.3
Zero bad debt
Time spent on invoicing/reminders: < 15 min/month
The Tools That Replaced Me
2023 → I productized the whole thing into Tagihly so my friends could copy it without the nerdy setup.
Now thousands of freelancers & agencies use the exact same flow (most hit $10k/mo within 4–6 months of switching).

Zero upsell. Just the system that changed everything for me.
